Booking Terms and Conditions for International Pairs Festival of Golf

1. Introduction

These Booking Terms and Conditions (“Terms”) govern the booking and payment process for the International Pairs Festival of Golf (“Event”) hosted on the website www.ipfestivalofgolf.com. All bookings and payments for the Event will be managed by Rhodium Events & Hospitality Ltd (“Rhodium Events”), a company registered in England and Wales under Company Reg No. 09123259, with VAT Reg No. 202137955, and having its registered address at 4 Knighton Road, Four Oaks, Sutton Coldfield, Birmingham, B74 4NY. The Event is organised by International Pairs Management, S.L. (“International Pairs”), and bookings and payments are managed by Rhodium Events. References in these Terms to either company include both where the context requires. By booking and making payments for the Event, you agree to comply with these Terms. Please read them carefully before making your reservation.

2. Booking Process

To book your participation in the International Pairs Festival of Golf, you must visit the official Event website, www.ipfestivalofgolf.com and complete the booking form seen here: REGISTRATION PAGE

Registering your interest costs nothing and requires no card details. You will be asked for accurate and complete personal details so that we can contact you and issue your deposit request.

Your place is not confirmed until the deposit has been paid. By paying the deposit you confirm that you have read and accept these Terms.

3. Payments & Deposits

A minimum, non-refundable deposit of £150.00 (British Sterling Pounds) per person must be paid at the time you have completed the form and received your payment request from Rhodium Events. We reserve the right to ask for an additional deposit amount for special requests bookings where we need to pre-pay to the supplier(s) an additional sum to secure a booking. The balance of the price of your product must be paid no later than 8 weeks in advance of your date of travel, (the “Balance Due Date”). If the deposit, balance or final balance (as applicable) is not paid by the Balance Due Date, Rhodium Events reserves the right to cancel your booking and retain your deposit paid.

The cost of your accommodation does not include any services that you may use or purchase whilst at the accommodation other than those specifically included in the price of your holiday as set out in your booking confirmation. You must pay the hotel directly for such additional services.

For the 2027 Festival the Balance Due Date is 10 January 2027, being eight weeks before the Event start date of 7 March 2027.

All prices are contracted in British Pound Sterling. Any euro or South African rand figures shown on our website, in brochures or in correspondence are indicative conversions given for guidance only. The amount payable is the sterling amount, and any movement in exchange rates between the date of booking and the date of payment is at your own risk.

4. Changes to Your Reservation

4.1 Amendment Requests: Should you wish to make changes to your reservation, such as altering the number of individuals in your group booking, transferring your booking to another person, or cancelling your booking, kindly notify us in writing via email. The lead name, who initially made the booking, is responsible for initiating these changes.

4.2 Cancellation Fees: Cancellations must be notified to us in writing by the lead name. The following charges apply per person, are calculated on the total booking price, and are determined by the date on which we receive your written notice:

Before 10 January 2027 (the Balance Due Date) — the deposit is forfeited. There is no further charge.
10 January to 6 February 2027 — 50% of the total booking price.
7 February to 20 February 2027 — 75% of the total booking price.
On or after 21 February 2027 — 100% of the total booking price. This is the fourteen day period immediately before the Event start date of 7 March 2027. No refund of any kind is available once that period has begun, whatever the reason for cancellation.

If you have already paid your balance at the time of cancellation, the cancellation charge is deducted from the amount you have paid and any remaining difference is refunded to you. If your reason for cancellation is covered by your personal travel insurance policy you may be able to recover these charges from your insurer, and we will provide whatever documentation your insurer reasonably requires in support of your claim.

4.3 Amendment Requests and Transfers: All requests for amendments are subject to availability and may not always be accommodated. In certain circumstances, such as illness, the death of a close relative, or jury service, we may consider transferring your booking to another person if we receive a minimum of 14 days’ notice before the departure date, provided that the new traveler meets all booking conditions. Proof of eligibility may be required. For other amendments, you may be asked to pay an administration charge reflecting the costs incurred by International Pairs Management, S.L. and Rhodium Events in making the changes. Please note that these costs may increase as the departure date approaches. Particularly, if changes result in an odd number remaining in your party, single room supplements may apply. We recommend contacting us as soon as possible to facilitate any modifications to your reservation.

4.4 Flights and Travel Disruption: International flights are not included in the price and are not arranged, booked or supervised by us. The cancellation, delay, rescheduling or schedule change of any flight, a missed connection, a denied boarding, or any other failure of your own travel arrangements to deliver you to the Event, is a matter between you, your airline and your insurer. No part of the package price is refundable in those circumstances, the cancellation charges set out in clause 4.2 apply in full, and we accept no liability for any cost, loss or inconvenience arising from them. The same applies to the refusal, delay or expiry of any visa, e-visa or e-Arrival authorisation, and to any refusal of entry to Cambodia by its border authorities.

4.5 Travel Insurance: Comprehensive travel insurance is a condition of entry. Your policy must cover trip cancellation, curtailment, travel disruption, medical expenses and repatriation for the whole period you are away. We may ask you to confirm that you hold such a policy. If you choose to travel without it, you do so entirely at your own risk and at your own cost.

5. Changes or Cancellations by International Pairs Management, S.L. & Rhodium Events

5.1 Updates and Corrections: On occasion, Rhodium Events & International Pairs Management, S.L. may need to make modifications to and rectify errors in brochures and on our website, both before and after bookings have been confirmed, or even cancel confirmed bookings. While we make every effort to minimize such changes and cancellations, we must retain the right to do so. However, please be assured that we will not cancel your booking after the Balance Due Date, except for reasons of force majeure (as defined in clause 7 below) or your failure to make the final balance payment by the Balance Due Date.

5.2 Notification of Changes: In most instances, these changes will be minor, and you will be promptly informed of them. In cases of a “significant change,” you will be notified as soon as reasonably possible, provided there is sufficient time before your departure. If International Pairs Management, S.L. and/or Rhodium Events introduces a significant change or cancels your holiday, you will be presented with the following options:

Accept the revised arrangements.

Choose to cancel the booking, in which case you will receive a full refund of all payments made to Rhodium Events (subject to clause 5.3).

5.3 Exceptions to Refunds and Compensation: Please note that refunds and compensation will not be payable, and International Pairs Management, S.L. and Rhodium Events will have no liability to you if we are compelled to make a change or cancellation due to force majeure (as defined in clause 7 below) or as a result of your failure to adhere to any of these booking conditions entitling us to cancel (such as timely payment).

5.4 Golf Course Conditions: Golf clubs and golf courses reserve the right to either close the golf course or implement temporary tees and greens at their sole discretion due to adverse weather conditions. We will make every effort to notify you in advance of any circumstances that may affect the condition or playing experience at relevant courses. However, we accept no liability if we have not been informed by the supplier(s) in question regarding such changes.

6. Liability

Rhodium Events shall not be liable for any loss, damage, or injury arising from your participation in the Event, except in cases of willful misconduct or gross negligence.

Nothing in these Terms excludes or limits our liability for death or personal injury caused by our negligence, for fraud or fraudulent misrepresentation, or for any other liability which cannot lawfully be excluded or limited.

7. FORCE MAJEURE

In these booking conditions, “force majeure” means any event which we or the supplier could not, even with all due care, foresee or forestall. Such events may include, without limitation, war or threat of war, riot, civil strife, actual or threatened terrorist activity, industrial dispute, natural or nuclear disaster, adverse weather conditions, fire, epidemics and pandemics and all similar events outside our or our suppliers’ control.

8. Governing Law

These Terms shall be governed by and construed in accordance with the laws of England and Wales.
